Overview
The Administrative Assistant is responsible for providing administrative and operational support to management while coordinating office activities and supervising support staff. The role ensures smooth office operations, effective communication, and efficient management of administrative processes.
Responsibilities
Administrative Support
- Provide administrative support to management and departments.
- Manage office correspondence, emails, and telephone communications.
- Schedule meetings, appointments, and maintain calendars.
- Prepare reports, documents, and presentations as required.
- Maintain proper filing and documentation systems.
Staff Coordination & Supervision
- Supervise and coordinate the activities of staff.
- Monitor staff attendance, punctuality, and task completion.
- Assign daily tasks and ensure work is completed efficiently.
Office Operations Management
- Ensure smooth day-to-day office operations.
- Manage office supplies and maintain adequate stock levels.
- Ensure the office environment is organized and professional.
Communication & Coordination
- Serve as a point of contact between management, staff, and external stakeholders.
- Coordinate internal communications and information flow.
Record Keeping & Reporting
- Maintain employee records and administrative reports
- Prepare periodic reports on office activities
- Ensure confidentiality of company documents and information
Requirements
- HND or Degree in Business Administration, Human Resource Management, or related field.
- A minimum of 2 years of administrative experience.
- Experience supervising staff is an advantage.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong organizational and communication skills.
- Good leadership skills and staff coordination.
- Attention to detail and confidentiality.
