Overview

To join our vibrant team in Accra, Ghana, we are looking for a motivated and meticulous Meetings & Events Coordinator. As a vital member of our team, you will be instrumental in organizing, arranging, and carrying out our clients' meetings and events.

Responsibilities

• From the first customer enquiries to the follow-ups after the event, oversee and plan every facet of meetings and events. • To guarantee flawless event implementation, cultivate and preserve solid connections with internal teams, clients, and vendors. • Make and oversee event finances, schedules, and logistics. • Make site visits and draft thorough proposals for customers. • Oversee the setup of the event, including the arrangements of the rooms, the audiovisual equipment, and the catering. • Oversee communications pertaining to the event, such as invites, confirmations, and surveys conducted after the event. • Make sure all event needs are fulfilled by coordinating with different departments. • Manage alterations at the last minute and address any problems that may come up during events. • Create and distribute invoices, contracts, and function sheets. • Prepare reports for management and carry out post-event assessments. • Keep abreast of market developments and industry best practices to enhance event offerings over time.

Requirements

• Shown ability to organize and arrange events, ideally in a hotel or business environment. • Outstanding attention to detail and strong organizational abilities. • Excellent verbal and writing communication abilities. • Knowledge of the Microsoft Office Suite, including Word, Excel, and Outlook. • Knowledge of event management software, such as OPERA. • Excellent customer service abilities and a client-focused attitude. • The capacity to multitask and operate effectively in a hectic setting. • Excellent problem-solving abilities and quick thinking. • Excellent interpersonal and relationship-building skills and a team player. • Flexibility to work different shifts based on scheduled activities. • A bachelor's degree in event planning, hospitality management, or a similar discipline is desired.
