Overview

The ideal applicant will help with day-to-day office operations, ensure efficient internal communication and scheduling, and function as the initial point of contact for guests, clients, and employees.

Responsibilities

• Respond to and route phone calls to the proper person or departments; greet and welcome customers, guests, and employees in a courteous and professional way. • Oversee the reception area, making sure it is always tidy, orderly, and attractive. • Plan and organize activities, meetings, and appointments. • Answer incoming emails and letters, making sure to follow up on them on time. • Receive and deliver mail, parcels, and other deliveries to the appropriate staff. • Make trip plans and reserve transportation, including lodging for executives and employees. • Assist office workers with administrative tasks including data entry, photocopying, and filing. • Respond to questions from customers and guests, giving precise details about the offerings of the business. • Make sure everyone entering the facility complies with security protocols. • Organize internal communication with other departments, including operations and human resources.

Requirements

• A bachelor's degree or certificate in business administration, office management, or a similar discipline is required. • A minimum of two years' experience working as an administrative assistant or receptionist, ideally in the construction or similar sector. • Outstanding communication abilities both in writing and speaking. • proficiency with Word, Excel, Outlook, and PowerPoint in the Microsoft Office Suite. • Strong multitasking and organizing skills. • Outstanding customer service and interpersonal abilities. • The capacity to handle private information discreetly and discreetly. • Professional look and mannerisms. • Time-management and problem-solving abilities.
