Being our organization's initial point of contact, a front desk receptionist is in charge of giving outstanding customer service and administrative support. As part of your job, you'll greet guests, respond to questions, handle phone calls, and carry out other administrative duties to make sure the front desk department runs well.
• As soon as visitors arrive at the workplace, extend a warm greeting to them. • carrying out bookkeeping duties such budget tracking, accounts receivable monitoring, and invoicing • Point them in the direction of the right person and office • Take calls, filter them, and send them on. • Make sure the reception area has all the required materials and stationery (such as pens, forms, and brochures), and that it is neat and attractive. • Give clear, concise information both in person and over the phone and email. • Gather, classify, and distribute mail and deliveries each day. • Uphold office security by adhering to safety protocols and regulating entry through the reception desk (keeping an eye on the visitor book and issuing badges). • Purchase office supplies and maintain a stock list. • Carry out additional secretarial receptionist tasks such photocopying, transcribing, faxing, and filing.
• Excellent Communication Skills: The ability to clearly and effectively communicate with guests, clients, or customers is essential for a front desk person. This includes verbal and written communication, as well as active listening skills. • Organizational and Time Management Skills: A front desk person must be able to multitask, prioritize tasks, and manage their time efficiently to ensure that all tasks are completed in a timely manner. • Basic Computer Skills: Proficiency in basic computer software such as Microsoft Office, Google Suite, and hotel management systems (if applicable) is necessary for a front desk person to perform tasks such as checking in guests, processing payments, and responding to emails. • Attention to Detail: A front desk person must be detail-oriented and able to accurately process payments, handle cash and credit transactions, and maintain accurate records. • Customer Service Skills: Providing exceptional customer service is crucial for a front desk person. This includes being friendly, welcoming, and helpful, as well as resolving customer complaints and issues in a professional and courteous manner.
