Overview

The chosen applicant will be in charge of maintaining the company's calendar and schedule, organizing and arranging meetings and conference calls, processing incoming and outgoing mail and shipments, and supporting the team administratively. Will be in charge of handling correspondence with outside suppliers and stakeholders, accounting for petty cash, car registration, and insurance renewal. The ideal applicant will be proficient with Microsoft Office and other pertinent tools, such as Canva or Prezi, and possess good organizational and time management skills in addition to great communication abilities.

Responsibilities

• Arranging and planning conference calls and meetings, as well as reserving meeting spaces and video conferencing equipment. • Taking care of the company's schedule and calendar • Managing and directing mail and shipments that come in and go out • supporting business gatherings by organizing and managing the logistics and catering • Helping to organize for the workers' travel arrangements • Keeping an inventory of office supplies and scheduling orders as necessary • Assisting the team with general administrative activities such as managing databases, Producing and updating papers, and finishing different tasks as given • Taking care of vehicle registration and petty cash bookkeeping • Updating insurance plans and interacting with outside vendors and stakeholders

Requirements

• A bachelor's degree or comparable professional experience • Strong time-management and organizing abilities • Excellent communication abilities both in writing and speaking • Proficiency with Canva or Prezi as well as Microsoft Office and other pertinent applications • Knowledge of organizing trips • Accounting and finance expertise (Added benefit) • Proficiency with PowerPoint and Excel on Microsoft • Proficiency in data analysis and visualization with Tableau, Power BI, Python, or R (Optional) • Being proficient in a second language, like Spanish or French, is advantageous. • Capacity to operate both alone and collaboratively • Attentive to detail and proficient in multitasking
