Overview

The Transport Manager will be responsible for the overall management, maintenance, scheduling, and efficient operation of Privately Owned Vehicles assigned to senior management or the organization. The role ensures that vehicles are roadworthy, compliant with legal requirements, and available for use at all times while supervising drivers, controlling costs, and maintaining high standards of safety, confidentiality, and professionalism.

Responsibilities

Vehicle Management & Maintenance

  • Oversee the daily management of all assigned private vehicles.
  • Ensure timely servicing, repairs, and preventive maintenance in line with manufacturer recommendations.
  • Maintain accurate records of vehicle servicing, insurance, roadworthiness certificates, and registration documents.
  • Monitor vehicle condition and ensure cleanliness and proper presentation at all times.

Driver Supervision & Scheduling

  • Supervise and coordinate drivers’ schedules, duty rosters, and assignments.
  • Ensure drivers comply with traffic regulations, company policies, and safety standards.
  • Conduct routine briefings and performance monitoring of drivers.
  • Ensure confidentiality and professional conduct by all drivers.

Logistics & Transportation Planning

  • Plan and coordinate transportation schedules for executives, family members, or assigned personnel.
  • Optimize vehicle usage to ensure efficiency and availability.
  • Manage vehicle allocation and route planning to minimize delays and fuel consumption.

Cost Control & Reporting

  • Monitor fuel usage, maintenance costs, and other vehicle-related expenses.
  • Prepare periodic reports on vehicle performance, costs, and utilization.
  • Recommend cost-saving measures and efficiency improvements.

Compliance & Safety

  • Ensure compliance with all applicable traffic laws, transport regulations, and internal policies.
  • Enforce safety procedures, including defensive driving and emergency response protocols.
  • Investigate and report accidents, incidents, or traffic violations.

Asset Protection & Confidentiality

  • Safeguard vehicles against misuse, damage, or theft.
  • Ensure discretion and confidentiality in all transportation-related matters.
  • Handle sensitive travel schedules and personal information with strict confidentiality.

Requirements

 Minimum of a diploma or equivalent qualification; certification in transport or fleet management is an advantage.

 Proven experience (3–5 years) in vehicle, transport, or fleet management, preferably in a private or executive setting.

 Strong knowledge of vehicle maintenance, road safety regulations, and transport logistics.

 Valid driving license with a clean driving record.

 Strong organizational and planning skills.

 Leadership and people-management abilities.

 Excellent communication and reporting skills.

 High level of integrity, discretion, and professionalism.

 Ability to work flexible hours, including weekends and public holidays when required.
