Overview

A Purchasing Specialist plays a critical role in managing a company’s procurement activities to ensure the timely and cost-effective acquisition of goods and services.

Responsibilities

• Purchase orders should be placed as soon as possible in accordance with procurement plans, and order progress should be monitored.
• Make sure that the items you have purchased arrive on time, and arrange for any delays, shortages, or inconsistencies to be resolved.
• To guarantee adherence to specifications, monitor and comment on the receipt of goods and quality checks.
• Verify payment information and prepare payment requests in accordance with the conditions of the contract.
• Work with the finance department to make sure that payment procedures are followed and completed on time.
• To avoid payment delays or duplicate payments, examine advance payments and balances on a regular basis.
• Help find and assess new suppliers and finish the onboarding procedures for them.
• To guarantee a steady supply chain, keep up your relationships with current suppliers.
• Evaluate supplier performance on a regular basis in terms of delivery, quality, and pricing, and suggest changes.
• To guarantee record consistency, reconcile accounts with suppliers on a regular basis.
• Resolve concerns as soon as possible by addressing differences found throughout the reconciliation process.
• Assist the finance department with monthly or yearly account reconciliation procedures.
• Create regular reports by compiling procurement data, such as order status and payment information.
• Examine lead times, supplier performance, and procurement prices to aid in departmental optimisation.
• Create and manage databases and procurement files to guarantee accurate and comprehensive information.

Requirements

• A bachelor's degree in business administration, supply chain management, procurement, or a similar discipline.
• Three years or more of expertise in supply chain management, procurement, or a related field.
• Demonstrated success in order monitoring, account reconciliation, and supplier management.
• Familiarity with contract management and procurement best practices.
• Strong negotiating and communication skills.
• Analytical spirit and meticulousness.
