Overview

The Procurement Officer's role involves assessing suppliers, goods, and services, bargaining contracts, and guaranteeing that authorized purchases meet cost-effectiveness and quality standards. Under the supervision of the CEO, this individual manages procurement and operational tasks within the company. They are responsible for optimizing the use of resources in line with company policies.

Responsibilities

- Identify potential vendors, develop product specifications, solicit bids, and collaborate with the procurement committee to analyze bids and make recommendations.

- Prepare purchase plans for equipment, services, and supplies.

- Enforce company procurement policies and procedures.

- Review, compare, analyze, and approve products and services for purchase.

- Manage inventories and maintain accurate purchase and pricing records.

- Research and evaluate prospective suppliers, negotiate contracts, and update supplier information.

- Analyze and reconcile supplier invoices daily, ensuring proper documentation.

- Regularly review the procurement listing and follow up with suppliers for outstanding invoices.

- Maintain updated tallies of products, equipment, and assets for each department.

- Receive goods from suppliers, verify against purchase orders in consultation with various departments.

- Ensure timely posting of invoices into QuickBooks by the Accounts Office.

- Ensure satisfactory ordering and billing for services and goods according to specifications.

- Reconcile invoices with purchase orders and match receipts.

- Maintain an organized filing system for all procurement documents.

- Perform three-way matching of purchase orders, invoices, and goods received notes.

- Conduct monthly closing procedures in Oracle Purchase Module, including reconciliations and adjustments.

- Generate monthly status and performance reports.

- Support marketing efforts through social media for Company services and products.

- Perform any other duties assigned by the CEO and Management as required.

Requirements

- Preferably hold a degree in accounting, business management, or related fields.

- Possess at least 4 years of relevant experience as a procurement officer or in a comparable role.

- Demonstrate proficiency in Microsoft Office suite and purchasing software.

- Exhibit strong communication and negotiation abilities.
